The Challenge: A Tool Sitting Idle and Quotes Going Unsigned
Bobby Umphlett has been building IT practices his entire career. Before joining ITPartners+ as vCIO in January 2025, he ran his own MSP for over a decade, and before that served as IT director and interim CIO at a regional bank managing $3.2 billion in assets. He knows what good client management looks like. He also knows what it looks like when a team has the right tools but not the bandwidth to use them.
When Bobby merged his MSP into ITPartners+, his new team already had a tool for account management and planning: Lifecycle Manager. But it wasn't being used to its full potential. ITPartners+ was using it to track assets and installation dates—as well as some lightweight reporting—but weren't taking advantage of its strategic planning capabilities. Without a dedicated owner driving the process, there was no consistent cadence for strategic business reviews (SBRs).
What SBRs did happen were built the hard way. “We'd pull all these different reports from everywhere else and try to integrate it into a PowerPoint, and it didn't look clean," Bobby says. The absence of a clear visual story connecting technology age, risk, cost, and timing made it hard for clients to say yes. “We just couldn't get quotes signed," Bobby says. "We'd have proposals sitting untouched for six months, and just not be able to get them over the finish line.” The needs were real, but without a strong business case to present internally, clients struggled to act.
For ITPartners+, that wasn't just a revenue problem. It was a relationship problem. Their clients couldn’t see where their technology was headed, so they couldn’t plan ahead. And for ITPartners+, that lack of client approvals was stalling growth.
The Solution: Making the Invisible Visible
When Bobby came on board, he made it his mission to get Lifecycle Manager working at full capacity. The team had all the data. What they needed was a process, and a little help to learn the ropes.
That support came in the form of their dedicated ScalePad customer success manager (CSM). When syncs weren't working and questions went unanswered, their CSM showed up. Bobby describes their CSM as the single biggest factor in helping them adopt the tool to its full capabilities. "He made sure I understood the product and that our questions were getting answered," says Bobby. "He has been instrumental in getting us to where we need to be."
Once the tool was humming, Bobby set about transforming how ITPartners+ ran its SBRs. Instead of manually stitching together reports from the RMM, ticketing system, and spreadsheets, the team now builds reviews inside Lifecycle Manager—using its native reports, roadmapping features, and forecasting tools to walk clients through their technology landscape visually. The shift from text-heavy PDFs to Lifecycle Manager's graphical interface was, in Bobby's view, the key unlock.
"With ScalePad, everything's visual," he says. "It lets us present to clients in a manner that they understand." Now, the team can build out 1-3 year technology roadmaps, showing clients not just what needs to happen, but when—and, critically, how large investments can be spread out over time to fit within their budget planning cycles. "We're able to split the capital expenditure into quarters, and then we talk about the importance of the spend, instead of just sending them a quote," Bobby says. "That makes a huge difference."
For ITPartners+, the SBR was never designed as a sales vehicle. But, as we'll break down in the next section, the conversations it enables consistently end in decisions.
The Results: When Partners Can See the Plan, They Can Act on It
Lifecycle Manager changed the SBR from a collection of reports into a planning conversation, and the difference shows up in key moments Bobby can point to.
- Unlocked $120,000 in stalled projects. Lifecycle Manager-powered SBRs removed the sticker shock as a key obstacle for clients. Seeing a realistic phasing plan changed the conversation entirely. Before, clients who needed a large hardware replacement would sit on quotes for months. “All they’d see is ‘we need to come up with 100 grand’ and stall,” says Bobby. “Now they know we can stagger it out—do 10 computers a quarter until we’re done.”
- One SBR led to an $80,000 project approval. One client had been sitting on a camera upgrade proposal for six months. In a single SBR, the team used Lifecycle Manager's forecasting view to show how the investment could be split across quarters so it didn't all land at once. The reaction was immediate. “They signed the quote the same day,” says Bobby.
- 1-3 year visibility for clients. Today, ITPartners+ is building out long-term technology roadmaps for their clients. “They might want to rent a warehouse next year, or build a new building the year after, or switch to a new VoIP in a few quarters,” Bobby says. "This gives them the opportunity to plan ahead.” It's a different kind of conversation—and Lifecycle Manager is what makes it possible. "Before, it was just piecemeal things. Now, we can push things out to where it makes sense. The ability to put it in a graphical interface so they can see the plan is the key factor.”
- SBRs that show a consistent sales signal. The structured, visual format of the SBR has made clients more confident in committing. Not because the meetings are pitched as sales conversations, but because the clarity they create makes decisions feel natural. “I’d say 60-70% of SBRs now end in a sale,” says Bobby. When clients feel like they’re planning ahead, not being sold to, getting a yes is easier.
The business impact is real. But for Bobby, the shift that matters most is harder to put a number on. More than the revenue impact, what stands out to him is what these conversations have done for the partnerships themselves. “It's brought us and our partners closer together, honestly. We weren't having these conversations before,” he says.
With a growing SBR program, a consistent cadence with their largest accounts, and a team that now knows how to run the platform to its full potential, Bobby and IT Partners+ are well-positioned to keep doing what's been working—turning planning sessions into signed projects, and signed projects into lasting partnerships.
